Who we are

Follow Up Pro ("we", "us", "our") is a lead-response and booking service built for UK trades and service businesses. Our registered trading address and contact details are available on our Contact page. When you submit an enquiry through a Follow Up Pro form, or when a business using our service contacts you through the platform, we act as a data processor on behalf of that business.

Information we collect

When you make an enquiry or use the service, we may collect and process the following personal information:

• Contact details: your name, email address and phone number.
• Location details: your postcode and, if you provide it, your full address.
• Enquiry details: the service you need, your message, photos or files you upload, and any answers you give to qualification questions.
• Booking information: preferred appointment dates and times, booking type (phone call, site visit or quote appointment), and any notes about access or parking.
• Communication records: emails, SMS messages, WhatsApp messages and phone call notes made through the platform.
• Business account details: if you register as a business user, we collect your company name, business type and account email.

How we use your information

We use the information we collect to:

• Respond to your enquiry quickly and accurately.
• Arrange quotes, phone calls, site visits and other bookings.
• Provide customer support and resolve issues.
• Improve the quality and reliability of our AI-assisted service.
• Send you updates, reminders and follow-ups related to your enquiry.
• Comply with legal and regulatory obligations.

We only process personal data where we have a lawful basis, such as your consent, the performance of a contract, or our legitimate interests in running the service.

AI-assisted conversations

Follow Up Pro uses artificial intelligence to help draft fast, helpful responses to your enquiry. AI may assist with responses before a human reviews or takes over where appropriate. A business user can always see the full conversation and step in at any time. AI is used to speed up replies, not to make decisions about you without human oversight.

Communication methods

By submitting an enquiry, or by ticking the consent box on a public form, you agree that we and the business you contacted may communicate with you by email, SMS, WhatsApp and phone in relation to your enquiry. You can stop these communications at any time by replying STOP to an SMS, asking us to stop by email, or by contacting the business directly.

Payment information

All card payments are processed securely by Stripe. Follow Up Pro does not store your full card details, card numbers or CVV codes. Stripe handles payment information in line with its own privacy and security standards. We only keep a record of whether a payment was successful, the amount paid, and the date of payment.

Email delivery

Outgoing emails from the platform are delivered through Resend, our email delivery provider. Emails are sent from Follow Up Pro addresses or from the business's verified sender address. Resend processes message metadata and content only to deliver the email and is bound by appropriate data protection obligations.

Facebook & Instagram Lead Ads integration

If a business connects their Facebook or Instagram Lead Ads account to Follow Up Pro, lead information submitted through Meta lead forms may be sent directly into the platform. This information is treated in the same way as an enquiry submitted through a Follow Up Pro form and is used only to respond to the enquiry and arrange follow-up. We do not use your data for Meta advertising purposes.

Cookies and analytics

Follow Up Pro does not currently use cookies for tracking, analytics or advertising. We may use essential cookies to keep you logged in if you have a business account. If we add analytics or non-essential cookies in the future, we will update this policy and request consent where required.

Data retention

We keep your personal information for as long as the business you contacted needs it to manage your enquiry, quote, booking or warranty, and for as long as we need it for legal, accounting or regulatory purposes. If you ask us to delete your information, we will delete it unless we have a legal obligation to keep it. Business account data is kept while the account is active and for a reasonable period afterwards.

Your rights under UK GDPR

Under UK data protection law you have the right to:

• Access the personal information we hold about you.
• Rectify inaccurate or incomplete information.
• Erasure ("be forgotten") in certain circumstances.
• Restrict processing of your information.
• Object to processing based on legitimate interests.
• Data portability — receive your data in a structured format.
• Withdraw consent at any time, where processing is based on consent.

To exercise any of these rights, contact us at hello@followuppro.co.uk. We will respond within one month. You also have the right to complain to the Information Commissioner's Office (ICO) if you believe your data has been mishandled.
